Templates need maintenance. This covers editing one, copying one, taking one out of circulation, and seeing which deal rooms came from it.
ℹ️ Everyone can edit, clone, archive and restore their own templates. Account Admins and Team Admins can also manage templates created by admins on their teams. Templates created by Experts and Viewers can only be managed by the person who created them.
ℹ️ Deal Room Templates are available in the Spekit Hub (Web App) today. Support in the Sidekick (Chrome Extension) and Spekit MCP is coming soon.
1. Edit a template
Everyone can edit their own templates, whatever their role.
- Open the Templates tab on the Deal Rooms page.
- Select the ... menu on the template card.
- Choose Edit.
The template opens on the Template builder tab, where you can change the name, the header, the sections and the content.
ℹ️ Editing a template never changes deal rooms already created from it. Each room is an independent copy, so reps keep what they built.
2. Who can edit what
Edit rights follow who created the template and which teams you manage.
| Template created by | Who can edit it |
|---|---|
| An Account Admin | That person, and any Account Admin |
| A Team Admin | That person, Account Admins, and Team Admins on their teams |
| An Expert or Viewer | Only that person |
3. Clone a template
Cloning gives you a copy to change without touching the original.
- Open the template.
- Select the ... menu in the top right, next to Preview.
- Choose Clone.
You can clone any template you are able to edit, including your own private ones. If a template was only shared with your team, you can use it to create deal rooms, but you cannot clone it.
💡 Pro Tip: Clone before a big change. If the new version does not land with the team, the original is still published and still working.
4. Archive and restore a template
Templates are archived, not deleted, so nothing is lost by mistake.
You can archive from 2 places.
| Where | How |
|---|---|
| The Templates tab | Select the ... menu on the template card, then Archive |
| Inside the template | Select the ... menu in the top right, then Archive |
What happens after that:
| Behavior | Detail |
|---|---|
| In the template picker | The template stops appearing when reps create a deal room |
| Where it goes | The Archived tab, visible to the people who can restore it |
| Restore | Brings it back to the Templates tab. You can restore your own templates whatever your role |
| Rooms already created from it | Unaffected. They stay exactly as they are |
5. Manage Spekit templates
Spekit templates are built by the Spekit team and every company sees them by default. They follow slightly different rules.
| Action | Who can do it |
|---|---|
| Use a Spekit template | Anyone who can create a deal room |
| Clone one and edit the copy | Anyone. Admins can then publish the copy. An Expert's or Viewer's copy stays private to them |
| Archive one for the whole company | Account Admins only |
| Restore one for the whole company | Account Admins only |
| Archive or restore your own copy | The person who made the copy |
You cannot edit a Spekit template directly. Clone it and change the copy to match your process. Admins can publish that copy to their teams. For Experts and Viewers, the copy is a private template only they can see.
ℹ️ If every Spekit template is archived and nobody has created one, the Templates tab shows that no templates are available, with a Create a template button. Account Admins also see an option to restore the Spekit templates.
6. See who is using your template
Usage tells you whether a template is working, which is the only way to know what to fix.
Open the template and go to the Template usage tab, beside Template builder. It lists every deal room created from the template. This works for your own templates too, whatever your role.
| Column | What it shows |
|---|---|
| Deal Room | The room created from this template, and its account |
| Owner | The rep who created it |
| Opportunity | The linked opportunity and its amount |
| Stage | The current deal stage |
| Close date | The opportunity close date |
| Visitors | How many people have viewed the room |
| Last visit | When a buyer last opened it |
| Last edited | When the rep last changed it |
Every column can be sorted, and the list pages if there are more rooms than fit on 1 screen.
💡 Pro Tip: Sort by Visitors and look at the rooms with 0. If several rooms from the same template were never opened, the problem is usually the template, not the reps.
7. Use cases
Most template maintenance falls into 1 of these 3 jobs.
| Situation | What to do |
|---|---|
| Your messaging changed | Edit the template. Existing rooms keep the old version, so tell reps what changed |
| A team needs a variation of a working template | Clone it, adjust the copy, publish the clone to that team |
| Nobody uses a template | Check Template usage first, then archive it. A shorter list helps the ones that work |
8. Best practices
Curating the list is more valuable than adding to it.
| Best practice | Why it matters |
|---|---|
| Review usage each quarter | Usage is the only honest signal about which templates earn their place |
| Archive instead of leaving clutter | Every unused template makes the good ones harder to find |
| Clone before you make a big change | You keep a working version live while you test the new one |
| Tell reps when a template changes | Their existing rooms do not update, so they need to know |
| Keep ownership clear | Use the Owner filter to see what you are responsible for |
