A template you create as an admin starts as a draft. Before you can publish it, you have to choose which teams get access to it.
ℹ️ This article is for Account Admins and Team Admins. Templates created by Experts and Viewers are private to them and do not need to be published.
ℹ️ Deal Room Templates are available in the Spekit Hub (Web App) today. Support in the Sidekick (Chrome Extension) and Spekit MCP is coming soon.
1. Publish a template
- Open the template from the Templates tab.
- In the header, open the Audience field and use Search teams to find the teams you want.
- Tick the teams you want, or tick All Teams.
- Select Publish.
ℹ️ Audience is required. A template cannot be published until at least 1 team is selected.
2. Choose the right audience
The audience decides which reps see the template when they create a deal room.
| Audience | Who sees the template |
|---|---|
| Specific teams | Only reps on the teams you tick |
| All Teams | Everyone, including teams created later |
💡 Pro Tip: Publish narrowly first. A template aimed at 1 team, used well, is easier to improve than one pushed to everybody at once.
3. What admins can publish to
The 2 admin roles have different reach, which matters when you are deciding who sets up what.
| Role | Can publish to |
|---|---|
| Account Admin | Any team, or All Teams |
| Team Admin | Only teams they manage |
Account Admins can also edit any template created by an admin in the company. Team Admins can edit templates created by admins on the teams they manage.
4. How drafts behave
A draft is invisible to reps, so you can build at your own pace.
| Behavior | Detail |
|---|---|
| Where drafts appear | Only on the Templates tab, and only for people who can edit them |
| In the template picker | Drafts never appear when someone creates a deal room |
| Editing after publishing | You can keep editing. Rooms already created from the template do not change |
5. Find drafts and published templates
The Templates tab has 3 filters that help when you are managing a growing set.
| Filter | What it narrows by |
|---|---|
| Audience | The teams a template is published to |
| Owner | Who created the template |
| Publish state | Draft or Published |
💡 Pro Tip: Filter by Publish state and then Draft before a launch. It is the quickest way to catch a template you built and forgot to publish.
6. Use cases
Audience control is what keeps the template list short for each rep.
| Situation | How to publish it |
|---|---|
| A template for 1 product line | Publish to the teams that sell that product only |
| A company standard room | Publish to All Teams so new teams inherit it automatically |
| A template you are still testing | Leave it as a draft and use it yourself until the structure settles |
7. Best practices
Publishing is a curation job more than a technical one.
| Best practice | Why it matters |
|---|---|
| Publish before launch day, not after | A rep who finds nothing to start from is hard to win back |
| Keep the set small per team | Reps choose fast or not at all |
| Review the list each quarter | Archive what nobody uses so the good ones stand out |
| Tell the team what each template is for | The name does the work, but a message at launch does more |
| Use it once as a rep would | Problems show up in the creation flow, not in the builder |
