[Admin Guide] How to manage Learning Paths

Once a Learning Path is published, use these tools to update its settings, reorder content, notify learners, share access, and archive or restore it. All of these actions happen inside the path itself.

ℹ️ Note: To find a path, filter your library, or check completion health across every path at once, see Find and track Learning Paths from the list. These actions live on the Learning Paths list, not inside a path.

1. How to edit a published Learning Path

Use Learning Path settings to change the name, who the path goes to, the due date, and where it appears.

  1. Open the Spekit Hub (Web App).
  2. Click Hub in the top navigation, then select Learning Paths.
  3. Open the Learning Path you want to edit.
  4. Click the gear icon in the header.
  5. Update any of the settings in the table below. Set due date, Parent Topics, and Target Learning Path on domains are collapsed when the pop-up opens, so click a heading to expand it.
  6. Click Save Changes.
Setting What it controls
Learning Path name Required. How the path appears to admins and learners.
Icon Pick from the Icon library, or Upload custom icon.
Assign Required. By Team for 1 or more teams, By user for individual people, or both.
Set due date No due date, Due within timeframe of assignment, or Due date on a specific date.
Parent Topics Links the path to 1 or more Topics, which makes it visible on those Topic pages.
Target Learning Path on domains The URL where the path appears in the Spekit sidebar. Tick Include subdomain and domain or Include path and domain to widen the match.

💡 Pro Tip: Under By Team there is a checkbox for Only assign to new users added to the selected Teams. Tick it for onboarding paths. New joiners get the path, and people already on the team are left alone.

You can reach both of these from the Learning Paths list without opening the path. On the row, click the ... menu, then Edit path for the editor or Assign learners for these settings.

2. How to reorder content and sections

Adjust the flow so the path matches the order you want learners to follow.

  1. Open the Learning Path.
  2. Stay on the Content tab.
  3. In the Content panel on the left, find the drag handle to the left of any item or section.
  4. Drag to move it.

This table explains what you can move.

What you drag What happens
A content item It moves up or down inside its section, or into a different section.
A section It moves up or down. All content inside the section moves with it.

ℹ️ Note: Changes to content, sections, and order go live immediately for everyone assigned. Learner progress is kept.

💡 Pro Tip: If a path is hard to reorder because it is too long, that is a signal to split it. Group the content into sections first, then move whole sections instead of single items.

3. How to send reminders

Notify learners who have not yet completed an assigned Learning Path.

  1. Open the Learning Path.
  2. Click Notify users in the top right.
  3. Choose email or in-app notification.
  4. Add an optional message, for example "Reminder to complete this by Friday".
  5. Send the notifications.

💡 Pro Tip: Check the Analytics tab before you send. If most learners are stuck on the same item, the content is the problem and a reminder will not fix it.

4. How to share a Learning Path

Copy a secure link to share access. Only learners assigned to the path can open it.

  1. Open the Learning Path.
  2. Click the share (arrow) icon in the header.
  3. In the pop-up, click Copy Link.
  4. A confirmation appears once the link is on your clipboard.

5. How to archive a Learning Path

Remove a path from active use while keeping it, and its data, for later.

  1. Open the Learning Path.
  2. Click the archive icon in the header.
  3. In the confirmation pop-up, click Yes, Archive.

The path moves to the Archived tab.

ℹ️ Note: Published Learning Paths cannot be deleted. Archiving is how you retire one.

💡 Pro Tip: You can archive without opening the path. Open the ... menu on its row in the Learning Paths list and click Archive path.

6. How to restore an archived Learning Path

Bring an archived path back so it can be edited, assigned, and reused.

  1. Open the Spekit Hub (Web App).
  2. Click Hub, then select Learning Paths.
  3. Go to the Archived tab.
  4. Find the Learning Path you want to bring back.
  5. Click Restore to draft at the end of its row.

The path returns as a Draft. Open it, check the content is still accurate, then click Publish to make it active again.

ℹ️ Note: Archived rows show a Final completion rate. That is the completion at the moment you archived the path. It does not change while the path sits in the archive.

7. Best practices

Use these habits to keep published paths healthy.

Best practice Why it matters
Edit in place instead of rebuilding Learner progress is kept when you edit. A new path starts everyone at zero.
Announce big changes Content updates are silent. If you restructure a live path, use Notify users to tell learners what changed.
Archive instead of leaving paths live A retired path still counts toward your completion averages while it is published.
Check analytics before reminders Reminders fix motivation problems. They do not fix confusing content.
Review assigned teams after a reorg Team assignments do not update themselves when your org structure changes.
