Can I change Speks to open by clicking rather than hovering?
You can control if you want the help text to show on hover instead of clicking on the help text icon to display content.
1.) Click the Spekit icon to open the Spekit Chrome Extension.
2.) Click Settings (at the bottom).
3.) Click to toggle the slider on (make it blue) for Show help text on hover.
What if someone wants to create Speks with the same labels in different Teams or Topics?
Users can create Speks with duplicate labels.
How to hide/unhide terms in Spekit?
You can Hide and Unhide one or more terms in Spekit. This option is useful when you need to hide certain fields you do not want to document or sensitive information you do not want to share with end-users.
Note: ONLY Account Admins and Team Admins can Hide terms such as fields, Speks, etc, in Spekit.
1.) Click on a Spek.
2.) Click on the ... ellipsis.
3.) Click Hide.
To Unhide a Spek:
1.) Open the Topic the Hidden Spek is located in.
2.) Click on the toggle to view hidden Speks.
3.) The hidden Speks will now appear. Click on the Spek you would like to unhide.
4.) Click on the ... ellipsis.
5.) Click Unhide.
In the Speks tab, switched to the Dictionary view, you can select and hide multiple terms using the Bulk Actions drop-down.
To Unhide a term in Spekit: In order to unhide terms, you need to first make the hidden terms visible.
Click on the view hidden Speks toggle to see all the hidden Speks.
- You can Unhide the Speks from the Wiki or Dictionary view.
- You can select and unhide multiple terms using the Bulk Actions drop-down.
How to assign an Expert to a single Spek?
Use the "Assign an Expert" option to crowd-source the expertise of your colleagues or to delegate documentation. You can assign an Expert to one or multiple terms in Spekit.
1.) Click into a Spek you want to assign an Expert to.
2.) Click Edit.
3.) In the Expert field, click to select the Expert you want to assign to this Spek.
4.) Click Save.
How to assign an Expert to multiple Speks?
1.) Click the circle next to each Spek you want to assign an Expert to.
Note: You can do this in both the Dictionary and Wiki view of Spekit. Below is an image of the Dictionary view.
2.) Click on Bulk Actions and select Assign Expert from the drop-down menu.
3.) Type in the Experts' names or click to select one.
4.) Click Assign. To exit this option, click on the X in the corner.
You can choose to display the expert assigned to each Spek in the Dictionary view simply by selecting Expert from the Toggle Columns Tab as shown below.
What happens when the Expert of multiple Speks is deactivated?
The deactivated user is left as the expert on the Speks. The Spekit Account Admin can bulk assign a new Expert.
How to bulk assign Speks to an Expert?
1.) Click on a Topic in the Spekit Web App.
2.) You have two options here:
- Click to highlight the circle labeled Select all.
- Hover on the Spek and click to highlight the circle (this must be selected on each Spek). The blue Bulk actions drop will appear after clicking Select all.
3.) Once you've finished selecting the Speks you want to assign to the Expert. Click Bulk actions.
4.) Click Assign Expert.
5.) The Assign an Expert pop-up will appear in the middle of the screen. Click in the blank to search for the Expert and click on their name.
6.) Click Assign.
You will receive a confirmation message that says Expert assigned (bottom left of screen).
How to bulk hide undefined field Speks?
Use Case: Spekit shows both defined and undefined field Speks in the search results. You can opt to hide the field Speks your company will not be using.
OPTION 1
1.) Open the Spekit Web App, and click on the Speks tab on the left-hand side.
2.) Click on the Dictionary tab.
3.) From the Object list in the Dictionary view in the Spekit Web App:
- In the list, locate the Salesforce object name you want to hide field Speks for
- Look to the right on the same row as the Salesforce object name, Click Fields(#)
4.) Click the circle to the left of each of the undefined field Speks you want to hide. The blue Bulk actions button will appear after clicking to select the Speks.
5.) Click Bulk actions.
6.) Click Hide Speks.
OR
OPTION 2
1.) Open the Spekit Web App, and click on the Speks tab on the left-hand side.
2.) Click on the Dictionary tab.
3.) Click on Filter.
4.) Click on the circle next to Document. The circle should no longer have the blue check mark.
5.) Click Apply Filters.
6.) Click the circle to the left of each of the undefined field Speks you want to hide. The blue Bulk actions button will appear after clicking to select the Speks.
7.) Click Bulk actions.
8.) Click Hide Speks.
How do I access my My Favorites (My Starred Speks)?
In the Spekit Chrome Extension, end-users are able to click the star icon to save a Spek to their My Starred Speks list.
1.) Click the Spekit icon (upper-right corner of the screen) to open the Spekit Chrome Extension.
2.) Click My Favorites.
What is the Notify my Team feature?
When I created the Test Spek - Onboarding I opted to Notify my team and send emails.
When creating a new process Spek, you can opt to Notify your team directly within Spekit, send an email, or send a Spotlight.
Click on the bell icon in the top bar to view the red unread Team alerts.
In Notifications for the Received, there is (1 unread). Click the blue View button.
The user is taken directly to the new Spek that was created for the Team.
Once you view a Spek that you received a notification for it will show with a ✓ Read in the Notifications screen for Received notification.
In Notifications, you can also view Notifications - Sent by me.
When viewing a Spek where a Team notification has been sent, you can click on Analytics to view who has viewed the Spek by Team.
When you click on Analytics you can opt to sort by Team (the dropdown will show the Teams created.)
The ‘Also send notification email’ option when creating a new Spek and notifying a Team will look similar to the example below.
How does the Mark as Read button work?
The Mark as Read button allows a User to know which Speks they’ve reviewed and the ones they have left to review in a Topic. As an Admin, you can view if a user has marked the Spek as read from the Analytics tab.
When a Spek is marked as read, the Spek won’t disappear from the User’s list of Speks to review under a Topic. So the User will be able to search for and view the Spek again. The Spek will have a Read indicator.
Here are a couple of important notes about the Mark as Read button:
- The Mark as Read button will appear on ALL Speks.
- Speks cannot be marked as Unread.
- Once a Spek is marked as Read, the Spek will remain Read even if the Spek is edited.
- There is no progress bar indicating how many Speks within a Topic have been marked Read.
- There is no Filter within a Topic to see all Read or Unread Speks at this time.
- Users cannot access all marked as Read Speks in a central location, Read Speks are displayed on a Spek by Spek basis.
Note: Our future Progressive Learning enhancements will build on Mark As Read.
How does Mark as Read differ from Viewed?
Mark as Read has more intentionality behind it. Mark as Read allows the users to know which Speks they've reviewed and the ones they have left to review in a Topic.
