[Admin & Rep Guide] Save content as a draft and publish it

Every piece of content in Spekit is either published or a draft. A draft is yours and your fellow content editors' to work on. Nobody else sees it until you publish it. This guide covers how to save a draft, find it again, work on it with someone else, and publish it when it is ready.

 

ℹ️ You can move content between the two states as often as you like. Publishing is not permanent, and moving something back to draft never deletes it.

 

1. Who sees a draft

Draft is a visibility setting, not a private folder. Who sees your draft depends on the Topic you saved it in.

💡 Pro Tip: If a teammate says they cannot find something you just made, check whether it is still a draft. That is the most common reason.

 

2. Save new content as a draft

You choose the state at the moment you create the content, and you can change it any time after.

  1. Select New, then create your Spek from a template or from scratch.
  2. Enter your Spek title, add your content, and set the Type and Topics as you normally would.
  3. In the top right, select Save as draft.

Your content is saved and labeled Draft. It is not visible to viewers.

If the content is finished and ready for your team, select Publish content instead.

💡 Pro Tip: Save as draft the moment you have a title, even if the body is empty. It gives you somewhere to come back to, and it means a half-written Spek never lands in front of a rep by accident.

 

3. Find your drafts

Published and Draft are two tabs, each with a live count of what is in it. You will find these tabs in two places.

To find a specific draft:

  1. Go to the Content Hub.
  2. Select the Draft tab.
  3. Use the search box above the tabs to search by name.

The counts on both tabs update as you search, so you can see how many results are drafts and how many are published.

ℹ️ Drafts do not appear in the main Spekit search bar at the top of the app. That search covers published content only. To find a draft, use the search box inside the Content Hub as described above.

💡 Pro Tip: Switch to list view using the control on the right. List view adds columns for Expert, Topics, last edited date and total views, which makes a long list of drafts much faster to sort through.

 

4. Work on a draft with someone else

A draft is shared with every content editor who has access to the Topic it sits in. That makes it a working space for the two of you, not a private file.

  1. Create the first version and save it as a draft in a Topic your collaborator can access.
  2. Tell them it is there.
  3. They open it, select Edit, make their changes, and save it as a draft again.

You can go back and forth as many times as you need before anyone publishes it.

ℹ️ You cannot both edit the same draft at the same moment. Spekit does not support real-time co-editing. Agree on who has it before you start, the same way you would with a shared file.

 

5. Publish a draft

You can publish from the content itself or from inside the editor.

From the content:

  1. Open the draft.
  2. Select the ... menu in the top right.
  3. Select Publish.

From the editor:

  1. Open the draft and select Edit.
  2. Select Publish content.

Either way, you get the same publishing options you have always had, including the choice of whether to send a notification.

If you are not ready, select Save as draft again from the editor and keep working.

💡 Pro Tip: Publish sits in the ... menu, not next to the Edit and Share buttons. If you are hunting for it on a draft you just opened, that is where it is.

 

6. Move published content back to draft

If something needs work, or you want to pull it out of circulation without deleting it, move it back to draft.

  1. Open the published content.
  2. Select the ... menu in the top right.
  3. Select Unpublish.

The content is now a draft. Viewers can no longer see it. Nothing is deleted, and you can publish it again whenever you are ready.

 

7. Publish or unpublish several items at once

Use bulk actions when you are cleaning up a Topic or releasing a set of content together.

  1. Go to the Content Hub or open a Topic.
  2. Select the Published or Draft tab, depending on what you want to change.
  3. Tick the checkbox on each item, or use Select all.
  4. Select Bulk actions.
  5. Select Publish or Unpublish (Move to Draft).

Bulk actions work in both grid view and list view, and stay greyed out until you have selected at least one item.

💡 Pro Tip: Filter or search first, then select all. It is far quicker than ticking items one at a time, and it stops you from catching content you did not mean to change.

 

8. Use a draft in a Deal Room

You can add a Team Hub draft to a Deal Room. The draft stays internal-facing, so your buyer does not see it, but your collaborators on the room can.

This is useful when you are building something like a proposal with your team and you want it in place before it is ready to be seen.

Because the link stays the same, you can add the draft early, finish it in place, publish it, and your buyer sees it appear in the room they already have open.

ℹ️ If a piece of content shows as unavailable in a Deal Room, that is personal content, not a draft. Personal content belongs to one person and cannot be used in a room. Draft content works in a room as described above.

 

9. Best practices

💡 Pro Tip: Make a habit of opening the Draft tab at the end of the week. Drafts are easy to start and easy to forget, and a short list is a sign your content is actually making it out to the team.
