[Rep Guide] Create a Deal Room

Creating a Deal Room takes about a minute. You name the room, link it to your deal, set who can open it, add your buyer's branding, and choose your notifications. This guide walks through the Create Deal Room window step by step, so your room is set up right before you add any content.

Before you start

A few things are helpful to know before you create your first room.

Point What to know
Salesforce connection If your org connects Salesforce, you can pick a real account or opportunity when you create the room. If it is not connected, you can still create a room by typing a company name.
You can link a deal later You do not need a Salesforce opportunity to start. You can create the room now and link it to an opportunity later.

 

Step 1: Open the Create Deal Room window

You can start a new Deal Room from a few places.

  1. In the Spekit Hub (Web App), click the + Deal Room button in the top right. You can do this from almost any screen.
  2. Or open the Deal Rooms tab and click + Create your first Deal Room (if you have no rooms yet) or + Deal Room.
  3. The Create Deal Room window opens on the General tab.

💡 Pro Tip: The + Deal Room button follows you around the app, so you can start a room the moment a deal calls for one.

 

Step 2: General tab, name and access

The General tab is where you name the room and control who can open it. Work through it top to bottom.

1. Choose the deal or account

Click the Deal or Account Name field. This field is required.

If Salesforce is connected If Salesforce is not connected
Search and select an account or opportunity from the list. Opportunities show the deal amount next to them. You are prompted to ask your admin to connect Salesforce, or you can type a company name to use for internal tracking.

To create a room for a company that is not in the list, start typing the name. You will see a Create new company: "<name>" option. Click it to use that name.

 

2. Name the Deal Room

The Deal Room name field is required. If you attached an opportunity, this name fills in for you (the account name plus "Deal Room"). You can change it to anything you want.

💡 Pro Tip: This name is visible to your buyer, so use something clear and professional, like "Acme and Spekit" or "Acme Expansion."

 

3. Set access controls

Under Access controls, you decide who can open the room and its content.

Setting What it does
Require email address When on, viewers must enter their email before they can open the room. This helps you see who is viewing.
Limit access to Enter email addresses or domains (for example, john@acme.com or acme.com) to let only those people in. Add more than one using Tab, Enter, Space, or a comma.

If you leave Limit access to empty, anyone with the link can open the room.

ℹ️ Check the Require email address toggle before you share, so you know whether viewers will be asked for their email. Set it to match how open you want the room to be.

💡 Pro Tip: Use Limit access to for sensitive deals where you only want named people or one company domain to get in.

 

Step 3: Branding tab, your buyer's look

Click the Branding tab to make the room look like it was built for your buyer. A branded room feels personal and is easy for your buyer to recognize when they come back to it.

  1. The Company field fills in automatically if you attached a Salesforce account. You can also search for a different company.
  2. Under Select logo, pick one of the offered logo versions (for example, an icon or a full logo).
  3. Under Select color, pick one of the suggested brand colors.
  4. To use your own instead, upload a logo under Logo and set a custom color under Color.

💡 Pro Tip: For a manual logo upload, use a PNG with a minimum height of 32px so it stays crisp.

💡 Pro Tip: The branded look also carries into the share link. When you copy the link, it shows a branded preview, so the buyer sees their own logo in the email or message.

 

Step 4: Notifications tab, how you get updates

Click the Notifications tab to choose how you hear about activity in this room.

There are two things Spekit can notify you about. For each one, you can turn on Email, In-app, or both.

Notification What triggers it
Deal Room viewed Someone opens this Deal Room.
Suggested content updates A call surfaces updates to content in this Deal Room. Learn more in Update content with suggestions from your calls.

ℹ️ These are your personal settings. They only change what you receive, and do not affect other collaborators on the room.

💡 Pro Tip: Keep at least one notification on for Deal Room viewed, so you know the moment a buyer opens the room and can follow up while their interest is high.

 

Step 5: Create the room

When your three tabs are set, click Create Deal Room.

To close the window without creating a room, click Cancel.

 

What happens next

Your new Deal Room opens, ready for you to build. From here you can:

Best practices for setting up a room

A few habits at the create step save you trouble later.

Best practice Why it helps
Link the Salesforce opportunity when you can It pulls in the deal, account, amount, and stage, and it powers engagement tracking and call-based content suggestions later. A room with no opportunity misses these.
Name the room for the buyer, not for you The name is visible to your buyer. "Acme and Spekit" reads better to them than "Acme Q3 test."
Match access to the deal's sensitivity For a wide top-of-funnel share, an open link is fine. For pricing or contract content, require email or limit access to the buyer's domain.
Set your branding at creation A branded room from the first share looks intentional. You can update branding later, but the first impression counts.
Turn on "Deal Room viewed" notifications This is your signal to follow up while the buyer is still looking. Without it, you are guessing when they last engaged.

Examples

Here is how the setup choices play out in real deals.

  • A standard new deal. You are starting a Deal Room for a new opportunity already in Salesforce. Pick the opportunity from the dropdown, so the amount and stage come with it. The room name fills in automatically, and you leave it as is. You require an email address so you can see who on the buyer's side is looking. On the Branding tab, the buyer's logo and colors auto-fill from the account, so you leave them and move on. Total time: under a minute.

  • A sensitive, named-only share. You are sharing pricing and a draft order form with two specific people at the buyer. You turn on Require email address, and in Limit access to you enter both contacts' email addresses. Now only those two can open the room, even if the link gets forwarded. Anyone else who tries is blocked.

  • A deal not yet in your CRM. A prospect asks for materials before the opportunity exists in Salesforce. You type the company name to create it for internal tracking, name the room, and share. Later, once the opportunity is created, you link it from the top of the room so engagement ties back to the deal.

  • A whole-company share. You want anyone at the buyer's company to be able to open the room, but no one outside it. In Limit access to, enter just the domain, like acme.com. Everyone with an acme.com email gets in, and no one else does.
