Access & Permissions
Do Admins have access to all Deal Rooms?
✅ Yes.Account Admins and Team Admins have default access to all Deal Rooms created by users in the organization. They can view, add, and edit content without needing to be added as a collaborator.
Can Admins add themselves as collaborators?
❌ No. Admins cannot add themselves because they already have default access.
💡 Important Note:
If an Admin wants to receive in-app and buyer engagement notifications for a specific Deal Room, the Deal Room owner must add them as a collaborator.
Understanding File Permissions in Deal Rooms
When you add files to a Deal Room from content repositories like Google Drive or SharePoint, Spekit syncs the file rather than hosting a new copy. This ensures your content is always up to date, but it also means the file retains the security permissions of the source location.
Crucial Requirement for External Sharing Because the file lives in your repository (e.g., Google Drive), the viewer must have permission to view it at the source.
If you are sharing a Deal Room externally (e.g., with a prospect or customer), you must ensure the file permissions in Drive or SharePoint are set to "Public" or "Anyone with the link can view."
If the file is restricted to "Internal Use Only" or specific email addresses, external viewers will encounter an "Access Denied" error or a login prompt when they try to view the file in the Deal Room.
How to Check & Update File Permissions
If a prospect reports they cannot see a file in your Deal Room, follow these steps to ensure the file is set to public view.
Google Drive
Open the file in Google Drive.
Click the Share button in the top-right corner.

Under the General access section, check the current setting.
If it says Restricted or Your Company Name, external viewers cannot see it.
Click the dropdown menu and select Anyone with the link.
Ensure the role on the right is set to Viewer.
Click Done.
SharePoint
Go to your SharePoint library and find the file.
Hover over the file and click the Share icon.
Click on the settings gear icon (or the text that says "People in [Company] with the link can...").

Select Anyone from the "Share with" list.
Note: If "Anyone" is grayed out, your IT team may have blocked external file sharing. You will need to contact them to enable it.
Click Apply.
Pro Tip: To test if a file is truly public, copy the file link and try opening it in an "Incognito" or "Private" browser window. If it opens without asking you to log in, it will work in your Deal Room.
🤝 Collaboration
Can reps add users from other teams as collaborators?
✅ Yes.Reps can add any user with an active Spekit license as a collaborator, even if that user is not on the same team.
What exactly can a collaborator do in a Deal Room?
Collaborators have several key abilities that help them support the deal:
- View, add, and edit content.
- Receive in-app notifications when they are added.
- Receive real-time buyer engagement notifications.
- Access Deal Room analytics.
- Content they add will appear in Spekit search for others to discover.
How do I easily switch between the Deal Rooms I own and those I collaborate on?
Use the dedicated tabs in the Spekit Web App to quickly manage all your rooms:
- "My Deal Rooms" displays the rooms you created.
- "Shared with Me" displays the rooms you are collaborating on.
- "Archived" displays all rooms (both owned and collaborated) that have been archived.
How can I find a specific Deal Room in the Web App?
You can use the search function across all three tabs (My Deal Rooms, Shared with Me, and Archived) to find rooms instantly by:
- Deal Room name
- Account name
- Opportunity name
How do I know who the original owner of a shared Deal Room is?
The owner's name is clearly displayed in the Web App list view for all Deal Rooms you are collaborating on.
What happens after I add a collaborator?
Once added, the collaborator will get a notification, and the Deal Room will automatically appear in their list. They’ll be able to add and edit content, receive real-time Sidekick alerts, and access the same analytics as the owner—keeping your entire team aligned as the deal moves forward.
Is there any setup required to start using Deal Rooms?
No complex setup is needed. Reps can start creating and sharing Deal Rooms right away, provided the feature is enabled for your Spekit organization.

Can buyers access Deal Rooms without installing special software?
✅ Yes.Buyers simply receive a secure link and can access all content through a clean, easy-to-use interface. No extra software or logins are required for your prospects or customers.
What types of content can I add to a Deal Room?
You can add a variety of content types, ensuring a centralized hub of resources:
- Documents (PDF, Word, Excel)
- Presentations (PowerPoint, Google Slides)
- Videos (using Speks)
- Sales collateral and marketing materials
Can I customize the appearance and content of a Deal Room?
✅ Yes.You have full control to tailor the buyer experience:
- Personalize and organize content within the room.
- Update branding (colors, logo).
- Rename the Deal Room.
- Associate it with a specific company or opportunity.
📈 Analytics & Archiving
Who can access Deal Room analytics?
Sales Reps can view engagement data for their own Deal Rooms. Admins and Enablement teams have access to broader usage and impact analytics to measure adoption and ROI.
How is buyer engagement tracked?
Spekit provides real-time analytics showing:
Which assets buyers view
How long they spend on each asset
Overall engagement patterns
These insights help reps prioritize outreach and personalize follow-ups.
Why isn’t internal team activity counted in Deal Room views?
Spekit automatically filters out internal activity. The platform detects logged-in users, ensuring analytics focus solely on external buyer engagement and not internal review or testing.
When a Deal Room is archived, can buyers still access it?
❌ No. Archiving a Deal Room disables the public share link, preventing access for both buyers and internal users until it is restored.
Are Deal Rooms supported in Outlook?
Currently, Deal Rooms are not fully supported in Outlook. For the best experience, we recommend accessing and managing Deal Rooms through the Spekit Web App.
