User Invitations & Notification Emails

How do I ensure my users get Spekit invites and notification emails?

To prevent invites from being filtered as spam, ask your IT team to:

  • Add @spekit.co and @spekit.com to the allowed senders list.

  • Add IP 168.245.110.76 to allowed senders.

  • If using Office 365 Safe Links (or similar), do not rewrite https://*.spekit.co URLs.
    For assistance, contact Spekit Support: support@spekit.co.

Why does my invitation email link say it’s expired even if I didn’t click it?

  • Invitation links are only valid for 24 hours. Use the Resend Invite button if needed.

  • If using Office 365 Safe Links, the service may “view” the link to scan it, which immediately expires the one-time code.

  • IT solution: Configure Safe Links to not rewrite https://*.spekit.co URLs via Office 365 protection settings.

Is a re-invite sent to a pending user if they are added to a Team?

✅ Yes.Adding a pending user to a Team triggers a new invitation email.

 

Users & Teams

Can a User belong to more than one Team?

✅ Yes.A user can be part of multiple Teams and have different roles in each.

Can a User have more than one role?

✅ Yes.Users can have different roles in each Team.

Example:

  • Team: Sales → Role: Team Admin

  • Team: Operations → Role: Expert

  • Team: Customer Success → Role: Viewer

Can a Team be cloned?

✅ Yes.Cloning a Team copies all settings, which you can then adjust.

Steps:

  1. Open Spekit Web App → SettingsManage Teams & UsersManage Teams

  2. Locate the Team → Click Clone Team

  3. Enter new Team name → Click Clone Team

 

Impersonation & Authentication

How do I impersonate a user to see their view?

Only Admins can impersonate users who have accepted their invitation.

Steps:

  1. Open Spekit Web App → SettingsManage Teams & UsersManage Users

  2. Search and select the user → Click Impersonate User

  3. A new window opens with the message: “You are currently impersonating <username>”

  4. To end impersonation, click Stop Impersonating in the top banner

How can I tell how a user was authenticated?

On Manage Users, icons indicate authentication type:

  • Cloud icon: Invited via Salesforce, has Salesforce ID

  • No icon: Invited via email, using Spekit username

  • Key & Lock icon (User): Access via Single Sign-On (SSO)

  • Key & Lock icon (Team): Team synced to IDP; some changes only via IDP

  • Spekit Chrome Extension icon: Extension installed

  • Outlook Add-In icon: Outlook Add-In installed

 

Reactivating & Deactivated Users

How can I reactivate a deactivated user?

Go to Deactivated Users, add the user back to a Team. They will receive a new email invite.

What if the deactivated user is set up with Single Sign-On (SSO)?

For users set up with SSO, the reactivation process depends on your SSO configuration:

  • Just-In-Time (JIT) Provisioning: You will need to follow the same process as above—add the user to a team in Spekit to reactivate their account and trigger an email invite.
  • SCIM Provisioning: If you are using SCIM for user provisioning, the user will be automatically reactivated without needing additional action from you once they are added to a team.
