How to re-invite Active Users to install the Chrome Extension

1.) Open the Spekit Web App. 

2.) Click Settings. If Settings is not an option, reach out to your Spekit Administrator. 

3.) Click Manage Users.

4.) Click More Filters.

5.) Next to Has browser extension Installed? select No

6.) Click Apply Filters. 

7.) Select all users by clicking the box next to the First Name column.

8.) Click the Choose Action down drop, and select Send Install Reminder Email.

How to re-invite users that haven’t accepted their Spekit invite (i.e. users in Pending status)

1.) Open the Spekit Web App. 

2.) Click Settings. If Settings is not an option, reach out to your Spekit Administrator. 

3.) On the next screen should be Manage Teams & Users.  In the section labeled Manage pending invitations click on Manage pending invitations.

4.) Select the users by

  • Searching for the user and then selecting the radio button to the left of the user’s name.Screen_Shot_2022-10-24_at_1.51.24_PM.png

 

  • Locating the user with the filters and selecting the radio button by the user’s name.Screen_Shot_2022-10-24_at_1.51.52_PM.png

 

  • Select the radio button at the top of the user list to select all users in the list.Screen_Shot_2022-10-24_at_1.52.12_PM.png

 

5.) Select Resend invite next to the user's name or bulk Resend invites.  Once completed, the last sent date will be updated.

How to look-up a user account

1.) Open the Spekit Web App. 

2.) Click Settings. If Settings is not an option, reach out to your Spekit Administrator. 

3.) On the next screen should be Manage Teams & Users.  In the section labeled Users click on Manage Users.

4.) Select the users by

5.) Additional account information will be displayed including

  • First Name
  • Last Name
  • Username
  • Email Address
  • Teams they are enrolled in and their role
  • Ability to add to a team (not created via SSO/IDP)
  • Impersonate a user: This feature allows admins to experience what that Viewer, Expert or Team Admin sees. 
  • Deactivate a user (this is disabled for SSO/IDP created users)

How to change a User's role (edit Spekit permissions)

1.) Open the Spekit Web App. 

2.) Click Settings. If Settings is not an option, reach out to your Spekit Administrator. 

3.) On the next screen should be Manage Teams & Users.  In the section labeled Users click on Manage Users.

4.) Select the users by

5.) Next to Teams click Edit Teams.

6.) Use the drop-down next to Role to adjust the user’s permissions.

7.) Click Save. A confirmation will appear in the bottom left of the screen.

To double-check the change, click on the User again, and you will see their Role has been updated. Follow the same steps to demote a User's Role.

How to delete (deactivate) a User

Teams and Users added via SSO can only be added and removed via SSO.  Work with the SSO administrator to make these adjustments.

 

1.) Open the Spekit Web App. 

2.) Click Settings. If Settings is not an option, reach out to your Spekit Administrator. 

3.) On the next screen should be Manage Teams & Users.  In the section labeled Users click on Manage Users.

4.) Select the users by

5.) Next to Teams click Deactivate User.

6.) When prompted Click REMOVE.

How to reactivate a deactivated user

Teams and Users added via SSO SCIM can only be added and removed via the SCIM connection.  Work with the SSO administrator to make these adjustments. Please also note that this action must be performed by one of your Spekit Account Administrators. 

 

1.) Open the Spekit Web App. 

2.) Click Settings.

3.) On the next screen should see Manage Teams & Users.  In the section labeled Users, click on Manage Users.

4.) Change the filter at the top of the user list from 'Accepted' to 'Deactivated'.

5.) Locate the user you want to reactivate and click on their user record to expand it.

6.) Add that user back to any team via the 'Add to Team' option. This action which will reactivate their account.

 

How to export users

1.) Open the Spekit Web App. 

2.) Click Settings. If Settings is not an option, reach out to your Spekit Administrator. 

3.) Click Admin Tools.

4.) Click the Bulk Upload tab. 

4.) Click Download.

Note: You may have to re-enter your password to download the file. 

 

5.) A file will download to your browser with everything in your Spekit Wiki. When you open that file, navigate to the Users tab. This tab will contain the following information about your Spekit users:

  • Spekit ID
  • Spekit User Name
  • First Name
  • Last Name
  • Email 
  • Active Status
  • Teams
  • Last Login
  • Last Active
  • Total Views
  • Group Name
  • Chrome Extension Installation status
