Sync Google Drive files into shared Team Hub Topics so your whole team always has the latest version. This guide is for the people who own team-wide content: Account Admins, Team Admins, and Experts.
ℹ️ Before you start: A Google Drive account must already be connected to Spekit. Syncing into Team Hub Topics requires Account Admin, Team Admin, or Expert access. 1. Two ways to sync into Team Hub
You can sync a batch of files from the Team Hub, or add a single file straight from the Google file you have open. Both put the content into shared Topics.
2. Sync with + Add New
- Open the Spekit Hub (Web App) or the Sidekick (Chrome Extension).
- Click the Team Hub button, then click + Add New.
- Click File Sync.
- Browse your Google Drive, or use the search bar, and select the files you want to sync.
- Click Next once your selections are final.
- Assign the files to the relevant Spekit Topic(s) so they are organized and easy to find.
- Fill in any Custom Fields to add context and improve usability.
- If reps will share the files with buyers, toggle external sharing on (for customers with trackable links enabled).
- Click Sync Files to finish. Files import in the background and appear under Content in the Team Hub.
3. Sync from an open Google file
Adds a single file to shared Team Hub Topics.
- Open the Google Drive file you want to sync.
- In the toolbar, click Add to Spekit.
- In the Sync Files pop-up, add the file to Topic(s), assign an Expert, enable external sharing, allow customization, and set custom fields.
- Click Sync File to add the content to Spekit.
4. The Spekit buttons in Google Drive
When Google Drive is connected, two Spekit buttons appear side by side in the toolbar of an open Google file:

5. Best practices
Syncing files into Team Hub keeps your team in the most current, trusted content in the tools they use every day. A few habits make that content reliable and easy to govern.

| Define who syncs what | The person who syncs should be the content owner or enablement lead responsible for keeping it current. Decide ownership in advance, for example Sales Ops owns pricing sheets and Marketing owns decks. Spekit auto-detects duplicate files, but agreeing on ownership gets you ahead of duplicate effort. |
| Establish ownership with Topics | Assign synced files to the right Topics so owners know what they maintain. For example, Marketing owns everything in the "Customer Stories" Topic while Enablement owns "Sales Plays." |
| Decide what to sync and what to upload | Sync living docs that evolve, like sales decks, pricing sheets, and templates reps customize. Upload static, moment-in-time docs instead, like QBR recaps, signed contracts, and one-off reports. |
| Set the right permissions before you share | For internal use, confirm your team has Google access to view the file. For external sharing, enable "Anyone with the link can view" in Google Drive and turn on External Sharing in Spekit, so buyers do not hit a "Request Access" wall. |
