System requirements
What do I need to connect each source?
| Source | Requirement |
|---|---|
| Google Drive | A Google account with access to Google Drive. Permissions are granted at connection time. |
| SharePoint | SharePoint Online and a Microsoft 365 Business or Enterprise license. First-time setup needs a one-time Entra admin consent. |
| Confluence | Confluence Cloud and an active Atlassian subscription (Standard, Premium, or Enterprise). |
For the exact OAuth scopes and Microsoft Graph permissions each source uses, see the Data Privacy and Security FAQs.
Connecting and syncing
Who can connect a source and sync content?
Account Admins, Team Admins, and Experts can connect and sync content into Spekit Topics. Deal Room users can connect and sync content within their own Deal Rooms.
Will my entire content platform sync automatically?
❌ No. You choose the specific files, folders, pages, or spaces to sync. Only what you explicitly sync appears in Spekit.
Can other Admins or Experts sync from my connected account?
❌ No. Each Admin or Expert connects their own account to sync files.
💡 Pro Tip: Because each person connects their own account, have at least two Admins or Experts connected for any source your team depends on. If one disconnects or leaves, syncing keeps running.
What file types can I sync?
| Source | Supported content |
|---|---|
| Google Drive | Google Docs, Sheets, Slides, PDF, PPTX, DOCX, XLSX |
| SharePoint | PDF, PPTX, DOCX, XLSX, and published Pages |
| Confluence | Page titles only (the page body is not imported) |
Managing synced content
How can I tell which content is synced?
Synced items show a source icon (Google Drive, SharePoint, or Confluence) and a Go to Source button that opens the original.
Will updates to source files show up in Spekit?
✅ Yes. Spekit refreshes synced content automatically within a few hours. Use Force Sync on a file to push an update sooner.
💡 Pro Tip: Right before a launch or a big call, use Force Sync on the file you just changed so the latest version is live immediately instead of waiting for the automatic refresh.
What happens if a source file is deleted or moved?
Deleted: the file drops out of Spekit after the next sync.
Moved: the file stays available, and the Go to Source button updates automatically.
What happens if I disconnect my account?
Content already imported stays in Spekit, but future changes will not sync. Other connected accounts keep working.
If I upload a new version of a SharePoint file with the same name, will it auto-update?
Only if you use SharePoint's Replace option, which keeps the same file ID and auto-updates in Spekit. Uploading a brand new file with the same name creates a new ID and must be re-synced manually.
💡 Pro Tip: Always update synced SharePoint files with Replace rather than delete-and-re-upload. It preserves the link and lets Spekit update on its own. See the SharePoint article for the full steps.
What if a user does not have permission to view the source content?
They can still access the synced item in Spekit, but cannot open the original file unless they also have permission in the source system. In Google Drive, they see the standard "Request Access" prompt.
Viewing Google Drive files
How do Google Drive files display in Spekit?
Files display in their original format using Google's native viewer, which keeps formatting accurate.
What is the difference between "accessing" and "viewing" content in Spekit?
Accessing: the content is available in Spekit through search, AI Sidekick, or recommendations.
Viewing: you preview the file directly in Spekit using Google's viewer.
Why do I need permissions in both Spekit and Google Drive to view a file?
Google's native viewer respects Google Drive permissions, so access in Spekit alone is not enough to open the file.
What should I do so synced Google Drive content is viewable for everyone?
Review your Google Drive sharing settings and either set the content to "Anyone with the link can view," or explicitly share it with the intended recipients. This matters most for externally shared content, like trackable links and Deal Rooms.
💡 Pro Tip: External users who cannot sign in to Google can still use the fallback "view as PDF" option, but the cleanest experience is to fix sharing in Google Drive first. Test it in an incognito window to see exactly what your buyer will see.
