1. What is the Activation Dashboard?
The Activation Dashboard provides a full picture of user adoption across your organization. It captures provisioning, acceptance, and activation data at both the individual and team level, helping you identify who is actively using Spekit, who needs a nudge, and where adoption gaps exist. It also surfaces quick action items — like pending invites and users without the extension installed — so you can take immediate steps to drive engagement.
Why you should use the Activation Dashboard:
- Track Adoption: Monitor how users are progressing from provisioned to accepted to activated across your organization.
- Identify Gaps: Spot teams or individuals who haven't yet engaged with Spekit so you can take targeted action.
- Drive Action: Use built-in insights to resend invites, send install reminders, and add users to teams directly from the dashboard.
- Measure Team Performance: Compare activation rates and speed across teams to identify what's working and where more support is needed.
2. Getting Started with the Activation Dashboard
Access Requirement: You must have Account Admin, Team Admin, or Expert-level access.
Step 1: Open the Spekit Web App. Step 2: Navigate to the Analytics tab. Step 3: Click on the Activation Dashboard.
Filtering your data:
At the top of the dashboard you can filter by:
- Team — Select any value, one specific team, or multiple teams
- User Role — Filter by any role or select specific roles: Account Admin, Expert, Team Admin, or Viewer
3. Understanding Your Activation Data
Activation Funnel KPIs
At the top of the dashboard you will see a high-level summary of your organization's activation health:
| Metric | What It Measures |
|---|---|
| Provision Count | Total number of users who have been sent a Spekit invite |
| Acceptance Rate | Percentage of provisioned users who have accepted their invite |
| Activation Count | Number of accepted users who have taken at least one action in Spekit |
Below the funnel KPIs you will find:
| Metric | What It Measures |
|---|---|
| # of Teams | Total number of teams in your organization |
| # of Account Admins | Total number of users with Account Admin role |
| # of Team Admins | Total number of users with Team Admin role |
| # of Experts | Total number of users with Expert role |
| # of Viewers | Total number of users with Viewer role |
🎯 Expert Ratio: Why It Matters
We recommend that 5-10% of your users are Experts, with a minimum of one Expert per team. Experts are typically team managers or top performers who answer questions from their peers and are responsible for keeping content accurate and up to date.
A low Expert ratio is one of the most common drivers of poor adoption. If teams don't have an Expert assigned, users are less likely to find relevant, trustworthy content — which directly impacts engagement and activation rates.
Action: Review your # of Experts KPI regularly. If you're below the 5% threshold, identify candidates on underserved teams and upgrade their role in Spekit.
Activation Over Time (Line Graph)
This graph shows the total cumulative user count against the provisioned on date, broken into three series:
- Total Provisioned — All users who have been sent an invite
- Total Accepted — Users who have accepted their invite
- Total Activated — Users who have logged in and taken at least one action
⚠️ Note: Dashboard filters do not affect this chart. It always reflects your full organization's data.
💡 AI Insights will automatically populate in this chart to surface trends and anomalies — keep an eye out for these as a quick way to spot patterns without having to dig into the data manually.
Users with At Least One Activity in Spekit (Pie Chart)
This pie chart shows the breakdown of users who have performed at least one activity in the Spekit Chrome extension. A user is considered active in the extension when they log in and perform at least one of the following actions:
- Viewing an embedded Spek
- Marking content as read
- Performing a search
- Using AI Assist or a recommendation
The chart is broken down by Extension Active: True or Extension Active: False.
Activation by Team (Table)
This table breaks down activation data by team. Because users can belong to multiple teams, each user is counted separately per team. Columns include:
- Team Name
- Provisioned Users
- Active Users
- Accepted Users
- Activated Users
Provisioned Users by Role (Pie Chart)
This pie chart shows the breakdown of provisioned users by role. A provisioned user is a user who has been sent an invite to Spekit. Roles included:
- Viewers
- Experts
- Team Admins
- Account Admins
Action Tables
The following tables surface users who need attention and are designed to help you take immediate action.
| Table Name | Who It Shows | Suggested Action |
|---|---|---|
| Send These Users a Spekit Invite Email (Pending Users) | Users who have been provisioned but have not yet accepted their invite | Resend invite emails to re-engage pending users |
| Remind to Install the Spekit Extension | Users who have not installed or have uninstalled the Spekit Chrome extension | Send an install reminder email |
| Add These Users to a Team | Users who are only in the default All Spekit Users group | Add them to a relevant team to improve their Spekit experience |
All User Details (Table)
This is the most comprehensive user-level table on the dashboard. Use it to get a full picture of any individual user's Spekit journey. Columns include:
- User Name & Email
- User Role
- Provisioned On, Accepted On, Activated On dates
- Pending status
- Chrome Extension installed (Yes/No)
- First Extension install date
- Last uninstalled date
- Active in last 30 days (Yes/No)
- Active in last 90 days (Yes/No)
- Last active date
- Login type
- Team membership (All Spekit Users only, or additional teams)
💡 How to Use the All User Details Table Effectively
This table contains several columns that are easy to overlook but incredibly valuable for admins:
30-Day vs. 90-Day Activity These two columns together tell a much richer story than either one alone:
| Pattern | What It Means | Suggested Action |
|---|---|---|
| Active in 90 days ✅ / Active in 30 days ❌ | User was engaged but has recently dropped off | Re-engage with a personal outreach or check if their team has relevant content |
| Active in 90 days ❌ / Active in 30 days ❌ | User has never been consistently engaged | Prioritize for reactivation — resend invite or schedule a training |
| Active in 90 days ✅ / Active in 30 days ✅ | Healthy, consistently engaged user | No action needed — consider nominating as an Expert if not already |
Login Type:The Login Type column shows whether a user is logging in via SSO or standard login. This is particularly useful when troubleshooting activation issues — if a user has accepted their invite but hasn't activated, their login type may be causing a barrier. Flag SSO users who haven't activated to your IT team for follow-up.
Chrome Extension Uninstall Tracking: The Last Uninstalled Date column is a critical but often overlooked data point. A user who has uninstalled the extension after previously activating is a very different problem from a user who never installed it in the first place:
| Scenario | What It Means | Suggested Action |
|---|---|---|
| Never installed | User hasn't completed onboarding | Send an install reminder email |
| Installed then uninstalled | User was active but disengaged | Reach out personally to understand why and resend the install reminder |
Activation Insights by Team (Table)
This table helps you compare activation speed and engagement across teams. Columns include:
- Team Name
- Average Activation Time (in days)
- User Count
- Activation Speed (Fast, Moderate, or Slow)
🎯 What to Do When Teams Are Activating Slowly
If a team is flagged as Slow, don't just resend invites — dig deeper first:
| Possible Cause | How to Identify It | Suggested Action |
|---|---|---|
| No Expert assigned to the team | Check # of Experts KPI and Activation by Team table | Assign an Expert to the team immediately |
| Low content visibility | Cross-reference with the Governance Dashboard | Review topic permissions for that team |
| Users not aware of Spekit | Check acceptance rate for the team | Schedule a team training or onboarding session |
| SSO or login issues | Check Login Type in All User Details | Escalate to IT to resolve login barriers |
