[Rep Guide] Preview and share a Deal Room

Before a buyer ever opens your Deal Room, you can see exactly what they will see. This guide covers previewing the room, sharing the link, controlling who can open it, and tracking what happens after you send it.

ℹ️ A Deal Room is not visible to anyone outside your company until you share the link. Preview first, then share.

 

1. Preview the room before you share

Preview shows you the buyer-facing view of the room, so you can catch anything off before your buyer sees it.

In the Spekit Hub (Web App):

  1. Open the Deal Room.
  2. Go to the Room builder tab.
  3. Click Preview at the top right.

 

In the Sidekick (Chrome Extension):

  1. Open the Sidekick (Chrome Extension).
  2. Click My Hub, then select Deal Rooms.
  3. Select the Deal Room you want to preview.
  4. Click the eye icon to see the room as your recipient will.

 

Here is what to look at while you are in there.

Check Why it matters
The title and description This is the first thing your buyer reads.
The logos and colors A room with the wrong branding looks like a template, not a build.
Section order The first section should be the one you want them to open first.
Every piece of content Make sure nothing internal made it into the room.

 

💡 Pro Tip: Preview on the device your buyer is likely to use. An executive summary that reads well on your monitor can read very differently on a phone.

 

2. Share the room

Once the room looks right, share the link.

In the Spekit Hub (Web App):

  1. Open the Deal Room.
  2. Click Share.
  3. Copy the link and send it to your buyer.

 

In the Sidekick (Chrome Extension):

  1. Open the Sidekick (Chrome Extension).
  2. Click My Hub, then select Deal Rooms.
  3. Select the Deal Room you want to share.
  4. Click the Share Link icon in the upper right. The link copies to your clipboard automatically.

When you paste the link into an email or a message, it shows a branded preview with your buyer's logo, so the link itself looks like it was built for them.

 

Share a single section

You do not have to send the whole room. Each section has its own share link, so you can send one stakeholder only the part that concerns them.

Open the section actions and select Copy section share link.

💡 Pro Tip: Section links are useful when different people own different parts of the deal. Send security the security section instead of asking them to hunt for it.

💡 Pro Tip: Send the link with one line on where to start. "The mutual action plan is the first section" gets more engagement than a bare link.

 

3. Control who can open the room

Access controls decide who can open the room once the link is out. You set these when you create the room, and you can change them any time in Deal Room settings on the General tab.

Setting What it does
Require email address Viewers enter their email before they can open the room. This is how you see who is looking, not just that someone looked.
Limit access to Enter email addresses or domains, for example john@acme.com or acme.com. Only those people can open the room. Add more than one using Tab, Enter, Space, or a comma.

If you leave Limit access to empty, anyone with the link can open the room.

⚠️ Links get forwarded. If the room holds pricing, contract terms, or anything else you would not want passed around, set Limit access to before you share, not after.

 

Here is how to match the setting to the deal.

Situation What to set
A wide, early share with a champion who will pass it around Leave access open, and require an email address so you can see who opens it.
A whole-company share Enter the buyer's domain, like acme.com. Everyone there gets in, no one else does.
Pricing or a draft order form for two named people Enter both email addresses. Only they can open it, even if the link is forwarded.

 

4. Share from the Spekit Add-In for Outlook

If you are already writing the email, you can share the room without leaving Outlook.

  1. From the Spekit Add-In for Outlook, open the Deal Room you want to share.
  2. Share the link using either method:
    • Use Insert into Email, or
    • Click Copy Share Link and paste it into the email manually.

5. Track engagement after you share

Once the link is out, the Deal Room tells you what your buyer actually did. At the top of the room you get the headline numbers.

 

In the Spekit Hub (Web App):

Metric What it tells you
Total visitors How many different people opened the room.
Total visits How many times it was opened in total.
Total time spent How long people stayed.
Total shares Whether your champion passed it on internally.
Last visit When someone last looked, which is your follow-up signal.

 

In the Sidekick (Chrome Extension): Total views, Unique visitors, Total time spent, and Last activity.

For the detail behind those numbers, the Spekit Hub (Web App) has two tabs.

 

Recent activity shows every view, one row per person per piece.

Column What it shows
Viewer Who opened it. This is why requiring an email address matters.
Viewed Which piece they opened.
Last viewed When they last looked.
Time spent How long they stayed on it.
Downloads Whether they downloaded it.
Total shares Whether they passed it on.

 

Content activity shows the same data grouped by content instead of by person.

Column What it shows
Content The piece of content.
Last viewed When it was last opened.
Total views How many times it was opened.
Time spent Total time across all viewers.
Downloads How many times it was downloaded.

In the Sidekick (Chrome Extension), the same detail is under Activity Analytics. Click the ellipsis on a row for analytics on a specific link.

Your calls on the deal sit alongside this. The Calls tab shows each call with next steps, key points, a recap, and participants. The Recommendations tab shows content a recent call suggests you add. See Deal Rooms Overview.

 

💡 Pro Tip: Total shares is the number worth watching in the Spekit Hub (Web App). When it goes up, your champion is selling internally, and that is usually the moment to ask who else you should be talking to.

 

6. Best practices

Best practice Why it helps
Preview before every share It takes a few seconds and it catches the mistakes your buyer would have seen.
Set access before you send, not after Once the link is out, you cannot control where it goes.
Require an email address Knowing who opened the room is worth far more than knowing someone did.
Turn on Deal Room viewed notifications You find out while their interest is high instead of checking back later.
Send the link with a starting point A pointed first step gets more engagement than a bare link.
