1. How to upload a File
- Log in to the Spekit Web App.
- Click the + New button and select File Upload.
- Choose the file you want to upload (Max size: 200 MB).
- Enter a title for your file (this is what your team will search for).
- Assign Topics: Map the file to one or more Topics to ensure it appears in the right library sections.
- External Sharing: Toggle the option to allow users to share this file with prospects.
- Click Upload Files.
- Notify Your Team: Choose to send an In-app notification, Email, or create a Spotlight.
- Click Save and Notify Changes.
2. How to sync a File
Keep your content dynamic by connecting Spekit directly to your existing cloud storage providers.
- Log in to the Spekit Web App.
- Click + New button and select File Sync.
- Click Connect Google Drive or Connect SharePoint.
- A pop-up will appear prompting you to authenticate the connection between your account and Spekit.
- Once connected, select the specific files you want to sync into your Spekit library.
3. File View & Edit Settings
When you open any file in Spekit, the sidebar provides a suite of advanced management tools:

| 4. Download | Save a copy to your local device. |
| 5. File Version History | Track all previous versions, see who made changes, and view timestamps. |
| 6. File Analytics | Monitor total views and engagement metrics for each specific asset. |
| 7. Delete File | Remove files from Spekit when no longer needed |
| 8. Edit File | Update Topics, Experts, External Sharing, or Custom Fields. |

Internal: Share with other Spekit users. External: Admins can enable external sharing for prospects based on permissions. |

4. Managing the File Lifecycle
Keep your content up-to-date and organized by learning how to download, delete, edit, or rename files in Spekit. This section guides you through maintaining your assets throughout their lifecycle, ensuring your team always has access to the most current and relevant content.
📥 How to Download
Open the file, click the Download icon, and the asset will save directly to your computer's downloads folder.
🗑️ How to Delete
Open the file, click the Trashcan icon, and confirm the action by clicking Yes, Delete in the pop-up.
✏️ How to Edit or Rename
Open the file and click Edit. From here you can update the Name, Topics, Expert, or External Sharing settings. Upon clicking Save, you can choose to notify specific audiences of the change via in-app alerts or email.
5. How to favorite a File
Mark important files with a star to keep them easily accessible. Favorited files appear under My Hub in My Favorites in the Sidekick. .
Web App Locate and open the file. Click the Star button. Once favorited, it remains easily accessible for your personal use. |
Sidekick (Chrome Extension) Open the file within the extension. Click the Star button. The file will now appear in your My Favorites tab for instant recall during calls. |
6. How to view Version History
Version History ensures your team is always aligned with the source of truth. Click the Version History icon in any file to open the sidebar.
What you’ll see in Version History:
- Synced Files: Displays the sync date, a summary of updates, and a direct link to the original Google Drive or SharePoint source.
- External Updates: Files modified outside of Spekit are clearly labeled as "Updated in [content store]" for maximum transparency.
- Spekit Updates: Any metadata or internal changes appear instantly with the latest version highlighted in the Expert card.
