How to Upload a File
1.) Log in to the Spekit Web App to get started.
2.) Click the New button and select File Upload from the dropdown menu.
3.) Choose the file you want to upload.
NOTE: Only files that are 200 MB or less can be uploaded.
4.) Enter a title for your file.
5.) Assign the file to one or more Topics.
6.) SMARTSEND CUSTOMERS ONLY: Toggle the option to allow users to share the file externally.
7.) Click Upload Files.
8.) Decide whether you want to notify your users. You can send an in-app notification, email, and/or Spotlight.
9.) Click Save and Notify Changes.
How to Sync a File
1.) Log in to the Spekit Web App to get started.
2.) Click the New button and select File Sync from the dropdown menu.
3.) Click Connect Google Drive or Connect SharePoint.
5.) A pop-up will appear prompting you to connect your account and Spekit.
6.) After setting up the connection, you'll be able to select specific files to sync into Spekit.
File View and Edit Settings
- Favorite File

Force Sync File from Source (ex: Google Drive, SharePoint, etc.)

Admins can initiate a forced sync of the file from the original source to ensure the most up-to-date version is available in Spekit.

View File in Source
- Access the original file directly in its source platform (e.g., Google Drive or SharePoint) for a more comprehensive view or advanced editing options.
- Download File

File Version History
- Track and view all previous versions of the file, see who made changes, and review timestamps for each update.
- File Analytics

Share File. You may have two share options available:
- Users can share the file with other Spekit users, making it accessible to others within the same Spekit environment.
- Admins have the ability to share files both internally (within the organization) and externally (outside the organization) through configurable permissions.

File Source
- Indicates the origin of the file (e.g., Google Drive, SharePoint, etc.), helping to track where the file is stored and manage its version control effectively.
- Last Edit Date
How to Download a File
1.) Log in to the Spekit Web App to get started.
2.) Locate and open the file you wish to download.
3.) Click the Download icon.
4.) The file will be saved to your downloads folder!
How to Delete a File
1.) Log in to the Spekit Web App to get started.
2.) Locate and open the file you wish to delete.
3.) Click the Trashcan icon.
4.) A confirmation pop-up will appear; click Yes, Delete to confirm.
How to Edit a File
1.) Log in to the Spekit Web App to get started.
2.) Locate and open the file you wish to edit.
3.) Click Edit.
4.) Update the file information, such as Topic(s), Expert, External Sharing, or Custom Fields.
5.) Click Save Changes.
6.) Choose whether you'd like to notify your users. You can send an in-app notification, email, and/or Spotlight.
7.) Click Save. You will have the option to notify users of the new change. You can select the audience to notify, include a short message, and choose to send the notification via in-app or email.
How to Rename a File
1.) Log in to the Spekit Web App to get started.
2.) Locate and open the file you wish to rename.
3.) Click Edit.
4.) Update the name.
5.) Click Save Changes.
How to Favorite a File
From the Spekit Web App.
1.) Log in to the Spekit Web App to get started.
2.) Locate and open the file you wish to favorite.
3.) Click the Star button.
From the Spekit Chrome Extension
1.) Log in to the Spekit Chrome Extension to get started.
2.) Locate and open the file you wish to favorite.
3.) Click the Star button.
NOTE: You can also favorite a file by opening the file and clicking the Star button.
4.) Once favorited, the file will appear in your My Favorites tab in the Chrome Extension.
How to View Version History for Files in Spekit
Tracking changes and staying informed has never been easier with Version History for Synced Files.
1.) Log in to the Spekit Web App to get started.
2.) Open the file you want to view the Version History for.
3.) Click the Version History icon.
4.) A sidebar will appear, displaying all versions of the file in reverse chronological order (newest to oldest). What you’ll see in Version History:
- Synced Files: View the sync date and a summary of updates, with a link to the original source for more details.
- External Updates: Files updated outside Spekit will display “Updated in [content store]” for clarity.
- Spekit Updates: Files updated within Spekit will show the latest version directly in the expert card.
