[Rep Guide] Invite collaborators to a Deal Room

A collaborator is another Spekit user you bring onto a Deal Room to work the deal alongside you. Think of it as the internal team behind a single buyer-facing room, the people who help keep it current and want to see how the buyer engages, even though they did not create it. This guide covers who to add, what they can do, and how to add or remove them.

ℹ️ Collaborators are internal Spekit users. To let an external stakeholder simply view the room, send them the share link instead. See Preview and share a Deal Room.

 

1. Who to add as a collaborator

Add the people who are working the deal with you and need to act on what the buyer does. A collaborator is not an audience. If someone only needs to look, they do not need to be added.

💡 Pro Tip: Add collaborators early, before you share the room with your buyer. They will see the engagement from the first view instead of joining halfway through.

 

2. What collaborators can do

A collaborator works in the room the same way you do. Access is all or nothing. You cannot give someone access to only one section, and there is no view-only collaborator.

ℹ️ Because access is all or nothing, only add people you are comfortable giving full control of the room to.

 

3. Add a collaborator

The steps are the same in the Spekit Hub (Web App) and the Sidekick (Chrome Extension).

  1. Open the Deal Room.
  2. Open the collaborators panel.
  3. Search for the Spekit user by name or email.
  4. Select them, then confirm. They now have access to the room.

They now have full access to the room, and their notifications are on by default. See Collaborator notifications.

4. Remove a collaborator

Remove someone when they roll off the deal, change roles, or no longer need access.

  1. Open the Deal Room.
  2. Open the collaborators panel.
  3. Find the person in the list.
  4. Remove them, then confirm.

Here is what happens when you remove someone.

What changes What stays the same
They lose access to the Deal Room right away Any content they added stays in the room

ℹ️ You cannot remove the owner of a Deal Room. If the owner is leaving the deal, transfer ownership first.

💡 Pro Tip: Removing a collaborator does not tell them they were removed. If it matters on your deal, give them a heads up.

 

5. Collaborator notifications

Notifications keep everyone on the room aware of what the buyer is doing, without anyone having to check the room.

Each person controls their own notifications for each Deal Room. Your settings are personal. They do not affect what other collaborators receive, and no one can change yours for you.

To set yours:

  1. Open the Deal Room.
  2. Open Deal Room settings.
  3. Go to the Notifications tab.
  4. Check the boxes you want. Each notification can be sent by email, in-app, or both.
  5. Click Save changes.

There are two notifications on a Deal Room.

Notification What triggers it
Deal Room viewed Someone opens this Deal Room.
Suggested content updates A call surfaces updates to content in this Deal Room.

Suggested content updates is the one collaborators often do not expect. It is not about the buyer. It fires when a call turns up something that should change the content in the room, so the room stays accurate as the deal moves. See Update Deal Room content with suggestions from your calls.

💡 Pro Tip: Tell new collaborators where these settings live when you add them. On a busy deal the alerts add up, and people are happier knowing the controls are theirs.

 

6. Transfer ownership of a Deal Room

Every Deal Room has one owner, and only the owner can hand it over. Transfer ownership when you leave the account, change roles, or pass the deal to someone else.

Ownership is managed in the same Collaborators tab you use to add people.

  1. Open the Deal Room.
  2. Open Deal Room settings.
  3. Go to the Collaborators tab.
  4. Find your name in the list. It is labeled Owner.
  5. Click the gear icon next to your name.
  6. In the dropdown, search for the person you want to make the owner and select them.
  7. Click Save changes.

Adding someone as a collaborator does not make them an owner. Ownership has to be transferred on purpose.

 

💡 Pro Tip: Transfer ownership before you hand off the deal, not after. Once you are off the account, someone else has to sort it out for you.

 

7. Best practices
