[Admin Guide] Set up a template for Deal Rooms

Templates give your team an approved, on-brand starting point for every Deal Room. You control which templates reach the gallery, so reps start from vetted content instead of a blank page.

ℹ️ Publishing team templates is limited to Account Admins and Team Admins. Any user can create a template for their own use. See [Rep Guide] Save your own content as a personal template.

1. Two ways to set one up

Approach When to use it
Convert a Spek you already have Content that already works well for your team. The fastest route
Build one from scratch No existing content fits, or you want a clean structure from the start

Both end in the same place: a Spek with its type set to Template.

2. Turn an existing Spek into a template

  1. Open the Spek you want to convert.
  2. Select Edit.
  3. Scroll to the Type field.
  4. Change it from Content to Template.
  5. Add Template instructions describing what the template is for and how it should be used.
  6. Turn on the external sharing toggle to make it available in the Deal Room template gallery.
  7. Save your changes.

ℹ️ Templates must be published content. A template cannot be saved as a draft.

3. Write template instructions that work

Template instructions do two jobs. They tell the AI how to fill the template in, and they tell reps when to use it.

Weak Strong
Use this for business proposals Use this template to generate a business case proposal for late-stage enterprise deals

💡 Pro Tip: Name the deal stage and the audience in your instructions. That one detail is what separates a template the AI fills well from one it fills generically.

4. Make it available in Deal Rooms

The external sharing toggle is what puts your template in front of reps building Deal Rooms. It does two things at once:

What it does Detail
Surfaces the template It appears in the Deal Room tab of the template picker
Makes it shareable The content can be shared outside your organization

Leave the toggle off if the template should stay internal only.

5. Where your template appears

Once published, your template shows up under the Team filter in the Deal Room tab of the template picker, tagged as a Team Template. Any rep can use it from there.

6. Best practices

Best practice Why it matters
Build your templates before launch Reps who open a blank page on day one do not come back
Apply your brand to the header A branded template looks finished before a rep touches it
Test the creation flow yourself Use your own template once as a rep would, before you tell the team it is ready
Write instructions for the AI, not just for people The instructions drive the quality of every draft generated from the template
Keep the set small Five templates reps actually use beat 20 nobody can choose between
