Keep your team on the latest content by syncing files directly from Google Drive to Spekit. This guide covers what the integration does, how to connect, how to sync files, best practices, and how to disconnect.
Governance note: Syncing Google Drive files into Team Hub Topics requires Account Admin, Team Admin, or Expert access in Spekit. This restriction does not apply to Deal Rooms, where users can sync Google Drive files directly within their own Deal Rooms.
📌 Quick-Jump Topics
1. What the Google Drive integration does
The Google Drive integration connects your Google Drive account to Spekit, so the files your team relies on stay current in Spekit without manual re-uploads. Sync a file once, and Spekit keeps it up to date as it changes in Drive.
Synced content is more than stored, it is surfaced. Files you sync are searchable in Spekit and served up by the Spekit AI Sidekick in the flow of work, so your team finds the right deck, guide, or template without switching tools.
Key benefits:
| Benefit | What it means for your team |
|---|---|
| Real-time syncing | Spekit refreshes synced Google Drive files automatically, so reps always see the latest version. |
| Centralized resources | Training materials, guides, and decks live in one place and surface through search and AI Sidekick. |
| Improved team access | Everyone gets quick, organized access to the right content without searching multiple platforms. |
Supported file types: Google Docs, Sheets, and Slides, plus PDF, PPTX, DOCX, and XLSX.
2. How to set up the Google Drive connection
There are two ways to connect Google Drive to Spekit. Use whichever fits your role and where you are working.
Option 1: Using the +Add New button
Available to Experts, Team Admins, and Account Admins.
- Open the Spekit Hub (Web App).
- Click the Team Hub button, then click + Add New.
- Select File Sync.
- Click Connect Google Drive.
- In the pop-up, connect your Google Drive account to Spekit.
- Once connected, you can select the files to sync into Spekit.
Option 2: Using the Settings page
Available to Account Admins only.
- Open the Spekit Hub (Web App).
- Click Settings (the gear icon).
- Click Connect.
- Click Connect Google Drive.
- In the pop-up, connect your Google Drive account to Spekit.
ℹ️ NOTE: You can connect multiple Google Drive accounts. Any Shared Drive accessible from a connected account is available to sync.
💡 Pro Tip: Connect more than one Admin or Expert account from the start. Syncing keeps working even if one person disconnects or leaves, so a core deck never goes stale because a single connection dropped.
3. How to sync files
There are three ways to sync content once your account is connected. Your whole Drive does not come across, only the files you select.
Option 1: Using the +Add New button
- Open the Spekit Hub (Web App) or the Sidekick (Chrome Extension).
- Click the Team Hub button, then click + Add New.
- Click File Sync.
- Browse your Google Drive or use the search bar to find and select the files you want to sync.
- Click Next once your selections are final.
- Assign the files to the relevant Spekit Topic(s) so they are organized and easy to find.
- Fill in any Custom Fields to add context and improve usability.
- For customers with trackable links enabled: toggle external sharing on if reps will share the files with buyers.
- Click Sync Files to finish.
Option 2: From a Google file, into a Topic
Adds the file to shared Team Hub Topics. Available to Experts, Team Admins, and Account Admins.
- Open the Google Drive file you want to sync.
- Click the Add to Spekit button.
- In the Sync Files pop-up, add the file to Topic(s), assign an Expert, enable external sharing, allow customization, and set custom fields.
- Click Sync File to add the content to Spekit.
Option 3: From a Google file, into a Deal Room
Adds the file straight to a Deal Room. Available to anyone with a Deal Room.
- Open the Google Drive file you want to sync.
- Click the Add to Deal Room button.
- Select an existing Deal Room, or create a new one.
- Confirm to sync the file into that Deal Room.
ℹ️ NOTE: Add to Spekit and Add to Deal Room appear side by side in the toolbar of a Google file. Use Add to Spekit for governed, team-wide content in Topics, and Add to Deal Room to bring a file into a specific deal. For the full Deal Room walkthrough, see the Deal Rooms guide.
💡 Pro Tip: Sync directly from a Shared Drive or My Drive, not from "Shared with me." Items in "Shared with me" and Google shortcuts will not sync. If a file lives in someone's personal space, move it to a shared "Sales Enablement" drive first, then sync from there so it stays reliable.
4. Best practices for syncing Google Drive content
Syncing files into Spekit keeps your team in the most current, trusted content in the tools they use every day. A few habits make that content reliable and easy to govern.
| Best practice | Why it matters |
|---|---|
| Define who syncs what | Admins, Team Admins, and Experts can sync, but the person who should is usually the content owner or enablement lead responsible for keeping it current. Decide ownership in advance, for example Sales Ops owns pricing sheets and Marketing owns decks. Spekit auto-detects duplicate files, but agreeing on ownership gets you ahead of duplicate effort. |
| Establish ownership and governance with Topics | Assign synced files to the right Topics so owners know what they maintain. For example, Marketing owns everything in the "Customer Stories" Topic while Enablement owns "Sales Plays." |
| Decide what to sync and what to upload | Sync living docs that evolve, like sales decks, pricing sheets, and templates reps customize. Upload static, moment-in-time docs instead, like QBR recaps, signed contracts, and one-off reports. |
| Set the right permissions before you share | For internal use, confirm your team has Google access to view the file. For external sharing, enable "Anyone with the link can view" in Google Drive and turn on External Sharing in Spekit, so buyers do not hit a "Request Access" wall. For Deal Rooms, allow "download and copy" in the Google share settings so reps can customize files. |
| Measure impact with the Buyer Engagement Dashboard | Syncing is step one, knowing content is used is step two. The dashboard shows what reps pull into deals and share with buyers, so you can double down on what works. |
| Keep the connection healthy | Spekit refreshes synced files within a few hours. Keep at least one Google Drive account connected at all times, and more than one where you can, so updates never stop. |
| Test external access before you share | Open the Spekit link in an incognito window. If you can view it there, so can your buyer. If you hit a "Request Access" screen, your audience will too, so fix the Google sharing setting before the deck goes out. |
| Force Sync when you need an update live now | Instead of waiting a few hours for the automatic refresh, use Force Sync on the individual file in Spekit to push the latest version immediately, handy right before a big call or a launch. |
| Spot-check core files monthly | Assign one Admin or Expert to check core files, like the current pitch deck and pricing sheet, once a month to confirm they are still syncing and current. |
