How to Enable External Sharing
1.) Open the Spekit Web App.
2.) Click Settings.
3.) Open the Admin Tools tab.
4.) Click Share Settings.
5.) Click the toggle next to Allow users to share content externally.
How to Share a File Externally
From the Spekit Web App
1.) Open the Spekit Web App.
2.) Search for the File, or navigate to the Topic where the File you would like to share externally is stored.
3.) Click on the File.
4.) Click on the share arrow and select Externally.
5.) Add a public name for the Share Link.
6.) Select the name of the Company you are sharing the File with (for internal tracking). To add a company name, just start typing!
7.) Decide if you would like to enable tracking on the File and if you'd like to require an email address to access the content.
8.) Click Create Share Link.
9.) Click Copy.
10.) The link is now in your clipboard. You can paste the link wherever you would like to share the File externally.
From the Spekit Chrome Extension
1.) Open the Spekit Chrome Extension.
2.) Search for the File, or navigate to the Topic where the File you would like to share externally is stored.
3.) Click on the File.
4.) Click on the share arrow and select Externally.
5.) Add a public name for the Share Link.
6.) Select the name of the Company you are sharing the File with (for internal tracking). To add a company name, just start typing!
7.) Decide if you would like to enable tracking on the File and if you'd like to require an email address to access the content.
8.) Click Create Share Link.
9.) Click Copy.
10.) The link is now in your clipboard. You can paste the link wherever you would like to share the File externally.
How to Re-Share an Existing Share Link
1.) Open the Spekit Web App.
2.) Navigate to the Analytics tab.
3.) Click Share Links.
4.) Click the specific company you shared the content with.
5.) Click Share Links.
6.) Find the Share Link you would like to re-share.
7.) Click the … ellipsis.
8.) Click Copy Link URL. The link is now copied to your clipboard.
How to Preview a Share Link
1.) Open the Spekit Web App.
2.) Navigate to the Analytics tab.
3.) Click Share Links.
4.) Click the specific company you shared the content with.
5.) Click Share Links.
6.) Find the Share Link you would like to preview.
7.) Click the … ellipsis.
8.) Click Preview Share Link. A new tab will open with a preview of the File.
How to View a Specific Share Link's Activity
1.) Open the Spekit Web App.
2.) Navigate to the Analytics tab.
3.) Click Share Links.
4.) Click the specific company you shared the content with.
5.) Click Share Links.
6.) Find the Share Link you would like to re-share.
7.) Click the … ellipsis.
8.) Click View LInk Activity. From this dashboard, you will be able to see the following:
- Total # of Unique Viewers
- Total # of Views
- Total Time Spent Viewing
- Last Viewed Date
- First Created Date
- Recent Views
How to Remove External Sharing Permissions
1.) Open the Spekit Web App.
2.) Open the File.
3.) Click Edit.
4.) Click the slider on Allow users to share externally.
5.) Click Save Changes.
NOTE: Any share links that have already been generated will no longer work.
How to Update a Share Link File Without Breaking Share Link
1.) Open the Spekit Web App.
2.) Find and open the File you would like to update.
3.) Click Edit.
4.) Click the Upload Icon.
5.) Select the updated File.
6.) Adjust the File name, as needed.
7.) Click Save Changes.
