A strong Deal Rooms launch comes down to four things: give reps branded templates they can use on day one, show them what a great room looks like, connect your integrations, and set up your teams so leaders can see what their reps are building. This guide walks through each one in the order you should do them.
ℹ️ This guide is for admins setting Deal Rooms up for a team. For how a rep builds a room, see [Rep Guide] Create a Deal Room.
1. Launch requirements
Three things should be in place before you tell reps Deal Rooms are live.
| Requirement | Why it matters |
|---|---|
| Pre-built branded templates | Reps can spin up a professional room in seconds instead of starting from a blank page |
| A complete example room | Reps copy what they see. An empty example teaches them to build empty rooms |
| Connected integrations and content sources | Salesforce, Gong and Slack turn a room into a deal signal. Google Drive, SharePoint and the Outlook add-in put rooms where your reps already work |
💡 Pro Tip: Do all three before launch day, not after. A rep who opens Deal Rooms once, finds nothing to start from, and leaves is hard to win back.
2. Connect your integrations
Each integration unlocks something specific. Reps will ask why a feature is missing, and the answer is usually here.
| Integration | What it unlocks |
|---|---|
| Salesforce | Links rooms to opportunities and accounts. Required for rooms to surface against the record a rep is viewing |
| Salesforce Revenue Insights | Required, with Gong, for call-based suggested content updates |
| Gong | Call insights, content recommendations, and suggested updates to room content |
| Slack | Buyer activity notifications in your deal channels |
ℹ️ Suggested content updates need Gong and Salesforce Revenue Insights, and the room must be linked to a Salesforce account or opportunity. If any one of those is missing, suggestions will not appear.
Content sources:
Connect the places your content already lives, so reps are not re-uploading files that already exist.
| Connection | What it unlocks |
|---|---|
| Google Drive | Reps add Google Docs, Slides and Sheets to a room without leaving Spekit. Synced content stays current at the source |
| SharePoint | The same for files your team keeps in SharePoint |
💡 Pro Tip: Connect your content sources before you build templates. If reps can pull the real deck straight from Drive, they will not build a worse copy of it inside Spekit.
Where reps work:
| Connection | What it unlocks |
|---|---|
| Spekit add-in for Outlook | Reps insert a Deal Room directly into an email, copy its share link, and create or edit rooms without leaving Outlook |
ℹ️ The Outlook add-in does more than share. Reps can create and edit Deal Rooms inside Outlook, which matters for teams that live in their inbox rather than in Salesforce.
💡 Pro Tip: Roll the Outlook add-in out at the same time as Deal Rooms. The moment a rep has to switch tabs to share a room is the moment they go back to attaching a PDF.
3. Set up your team's templates
Templates are the single highest-impact thing you can prepare. Reps use what is in front of them.
Build them:
- Collect your top-performing collateral and structure it into clean, reusable Spekit templates.
- Apply a branded header in your primary brand color so each template looks polished and cohesive.
- Publish the templates and review the layout for a clean buyer experience.
- Set the Type field to Template, not Content.
- Turn on external sharing so the template reaches the Deal Room template gallery.
- Test the creation flow yourself before you roll it out.
Template checklist:
| Element | Why |
|---|---|
| Branded header | The template looks finished before a rep touches it |
| Logo and brand colors | Reps should not be doing design work mid-deal |
| Clear structure | Sections a rep can fill in, not a blank canvas |
| Template instructions | They drive the quality of every AI draft generated from the template |
ℹ️ Templates must be published content. A template cannot be saved as a draft.
For full steps, see [Admin Guide] Set up a template for Deal Rooms.
💡 Pro Tip: Keep the set small. Five templates reps actually use beat 20 nobody can choose between.
4. Build a what great looks like example
Build one complete, high-fidelity Deal Room and point every rep at it.
Themes that work well:
| Theme | What goes in it |
|---|---|
| Deal summary | The executive summary and the business case |
| Presentations | The decks you actually present |
| Product information | What the buyer needs to evaluate |
| Customer proof points | Case studies and references |
⚠️ Avoid empty rooms. An example with three sections and no content teaches reps that a thin room is acceptable. Show them a fully populated room that guides a buyer through their journey.
💡 Pro Tip: Tell reps to clone the example rather than start from scratch. Cloning a strong room is the fastest path to a second strong room.
5. Set up team visibility for sales leaders
Sales leaders get the most from Deal Rooms when they can see what their reps are building without asking for it. Set your teams up so leaders are team admins over their own reps.
How to set it up, as an account admin:
- Create a team in Spekit for each sales team.
- Add the sales leader or manager as a team admin of that team.
- Add that leader's reps as members of the same team.
Once this is in place, the team admin can see the Deal Rooms their reps create in the Shared with me tab, along with the analytics.
ℹ️ Team admins are expected to see their team's rooms and analytics in the My Deals dashboard as well, since collaborator rooms appear there. Confirm this in your own environment before relying on it for reporting.
💡 Pro Tip: Only an account admin can do this. Get your team structure in place at launch, so leaders have visibility from day one instead of chasing it later.
6. Drive team adoption
Reps adopt tools that show immediate value with low friction.
| Tactic | Why it works |
|---|---|
| Launch with templates ready | Reps start from something polished instead of a blank page |
| Run office hours team by team | Targeted support beats a single all-hands |
| Encourage internal collaborators | Adding SEs, CSMs and managers to active rooms builds collaboration and peer learning |
| Show the analytics early | Once a rep sees who opened their room and what they read, they build the next one themselves |
| Point reps at notifications | Deal Room viewed notifications turn the room into a reason to follow up |
💡 Pro Tip: The fastest adoption driver is one rep getting a buyer response they can trace to a room. Find that story in week one and share it.
7. Best practices
| Best practice | Why it helps |
|---|---|
| Launch with templates and a model room ready | Reps have a strong starting point on day one |
| Connect integrations first | Salesforce and Gong unlock the tracking and call insights that make rooms worth building |
| Set up teams before launch | Leaders get visibility from the start instead of asking for it later |
| Run office hours per team | Smaller sessions surface the real questions |
| Revisit your templates after 30 days | The analytics will tell you which ones reps actually use |
